2. Read and discuss the text and telephone conversations

 

Telephone conversations

 

Having telephone conversations in a second language can be very stressful. If you don’t know what to say, it is very common to feel nervous in any conversation. This is true even when speaking in your native tongue. One of the main reasons people get nervous is because they aren’t prepared and know they might make mistakes during the conversation.

To improve confidence on the phone you must learn what to say. The first thing you should do to improve your telephone communication ability is to start out small by learning simple vocabulary and phrases. Start by knowing different greetings. It is so easy when learning English to try to do too much too soon and then get frustrated with not being able to speak as you had imagined. You have to start small, gradually developing skills and slowly working up to something more difficult.

Relax and enjoy yourself as well. Everyone knows learning a language can be frustrating! Don’t worry if you make mistakes. Native speakers of English understand that you won’t say everything the exact same way that they would. You shouldn’t feel that you can’t make any mistakes, no one expects you to be perfect. .

Here are a few Telephone Conversations. Read the conversations so that you will become familiar with the typical words frequently used in telephone conversations.

3. Learn the tips for succesful telephone conversation

Tips for successful telephone conversation

1. When you pick up the receiver, mention your name and / or the phone number. Do not say “Hello” only.

2. If the caller wants to talk to someone at the same place, ask him politely to hold the line while you call him to the phone.

3. Do not talk loudly on the phone.

4. Do not talk too long on the phone. You may be preventing an urgent call coming in.

5. Do not make calls at odd hours (too early or too late) unless it is an emergency.

6. Apologize for wrong numbers and late calls.


Here are a few more tips on telephone etiquette and courtesies which will help the person you are talking with to form a good opinion of you and your efficiency in telephonic conversation.

 

a. When making a call, always plan what you want to speak about so that you save time and show confidence through having prepared yourself.

b. Suit your style to that of the person you are talking to. Busy people would like you to be brief and direct without unnecessary conversation and drawl (манерність) in your tone. Others may want a more sociable and easy flow of conversation.

c. When you are the caller, avoid talking to anyone else in the room while you are on the phone - unless it is directly related to the phone conversation.

d. Respond to a ringing phone immediately. It could be an important call. Besides you will appear slack and inefficient if you let your phone ring too long and cause annoyance at the other end.

e. Talk clearly into the phone. Avoid talking while eating.

f. Take messages for members of the family / office who are not available to answer their calls and make sure you note the name of the caller, his/her phone number and the time of the call.

g. End the call politely thanking the caller / receiver and assuring a return call if required.

 

4. Read about an answering machine and learn ‘do’ and ‘do not’ points.

An answering machine

An answering machine/voice mail is used to take calls when an individual is out. If the individual does not have an answering machine, purchase one NOW so that calls from potential employers are not missed. If the individual has an answering machine, now is the time to update the "unusual" or "unique" greeting. Ask: "What will the future employer think of my message and how that message represents me?" Some tips:

Do:

·              Make sure message is polite, direct, and businesslike.

·              Make sure message can be understood clearly.

·              EXAMPLE: "Hello, this is (phone number). I am sorry I am not available to take your call right now. Please leave your name, telephone number, a brief message, and the best time to reach you. I will get back to you as soon as possible".

·              Return telephone calls promptly

 Do Not:    

·             Make crude comments or mention social references in message (i.e. I'm unable to answer my phone because I'm out partying).

·             Have music playing in the background.

·             Let children record the greeting.

·             Use multiple people when recording the greeting.

·             Preach.

   When leaving a message for someone to return telephone call, try to have the correct pronunciation of their name and make sure the following is clearly stated:

·              Name

·              Telephone number

·              Message

·              The best time to call back

·              Name once again      

·              Telephone number once again

·              Then hang up gently

 

5. Work in pairs. Practice the telephone conversation, using dialogue structure for taking a message and for arranging a meeting. Write down dialogues in Formal and Informal versions
